1. Who are we?

The Lawn Tennis Association (we sometimes just call ourselves the “LTA”) looks after tennis clubs, competitions, events (and lots of other tennis-related things) in Great Britain, the Channel Islands and the Isle of Man. We want lots of people playing tennis, and to support tennis players become as good as they can be – whether that is by helping you to play tennis or, when you’re older, by helping you to coach other players or volunteer at one of our clubs.

Sometimes we may collect, use or share information about you. There are lots of reasons why we might do this, for example because you play tennis with us or because you have been to one of our competitions or events. The reasons why we have information about you and how we use that information will depend on how you have become involved with the LTA.

We have to follow certain rules and laws to make sure that we are using information about you in the right way. We take these rules and laws very seriously because you trust us with your information, and we want to protect that trust. So we’ve answered these ten common questions to explain how we collect, use and share information about you as part of the work that we do.

2. What information do we have about you?

To give you a rough idea, the information that we have about you might be:

  • your name
  • how old you are
  • whether you are a girl or a boy
  • where you were born
  • your parents’ or guardians’ contact details including an email address (or yours, if you are old enough)

There is lots of other information that we might have about you, for example:

  • if you’ve been to one of our competitions or events, we might have a note of this.
  • if you play tennis and you set up an account with us, or your parents or guardians set one up for you, we will have your account details.
  • if you’re one of our members, we will know when you became a member, any ranking or rating that you might have as a tennis player, and any competitions or prize draws that you have entered (or that your parents or guardians have entered for you).
  • if you have bought something from us, or your parents or guardians have bought something for you, like a ticket for one of our events or competitions we might have your delivery address.
  • if you play tennis, we may have records of how you did in competitions and tournaments, information about what courts you’ve booked (or that your parents or guardians have booked for you), and any injuries or illnesses you might have had.
  • if you are old enough to use our website by yourself, we may collect some information about you like the username you use to login to your account with us (if you have one).

Sometimes, we may need to collect and use information about you which is more sensitive. This might include information about your race, religious beliefs, and health.

3. How do we collect information about you?

There are lots of reasons why we might have information about you. Some examples include:

  • if you’ve given us information about yourself, for example if you’re old enough to apply to become a member with us, open an account with us, sign up for one of our courses or events, enter a competition, or use our website.
  • if your parents or guardians have given us information about you, for example if they have signed you up as a member, registered you at a venue, or bought you a ticket to one of our courses, events or competitions.
  • if someone else has given us information about you, for example a coach or official might give us the results of a competition that you’ve taken part in.
  • if other companies that are linked to us give us information about you, for example if you or your parents book one of our courts or courses through someone else’s website, or if you are old enough to have social media and you ‘like’ one of our pages.
  • if someone makes a complaint about you.
  • if we create the information ourselves, for example if we write a match report after watching you play or compete, or take photos or videos of competitions or events that you attend.
  • if you visit the National Tennis Centre or any of our other locations where there is CCTV (security cameras).

4. Why do we use information about you?

We are careful to only use your information where it is appropriate but there are many ways we could use your information as part of our goal to get more people playing tennis in Britain. There are a few different legal reasons why we use your information – and if you want to know about that, you can read (or have help from an older person to read) our main Privacy Policy. For now, though, we want to explain the day-to-day reasons we use your data.

We might use your information:

  • to set up your account with us.
  • to organise competitions and events.
  • to make sure that our competitions, events and spaces are safe for everyone to use, including by using CCTV (security cameras).
  • to advertise the LTA, our products and our events.
  • to learn about you and other tennis players, for example by looking at how often you play tennis and using this to provide you with information you may be interested in.
  • if you are old enough to have social media, so that you see adverts on your social media accounts that relate to tennis.
  • to find other people who are similar to you, and who might want to join the LTA.
  • so that we can understand more about why people play tennis and how we can improve.
  • so we can record how many of our sessions you’ve been to, in case we should be rewarding you for attending.
  • so we can respond to questions, feedback, or complaints that we may receive.

5. Why do we share information about you with others?

There are certain people we may need to share your information with. These may include:

  • your parents or guardians.
  • people who work or volunteer for us, including people we work with who help us carry out our programmes and other work.
  • people who organise tennis competitions that you take part in.
  • coaches or training courses that you book (or your parents or guardians book for you) and certain tennis venues that you are involved with.
  • other tennis organisations, for example tennis coaches and competition organisers.
  • the police and other authorities, for example where they need to help or look after you or other children and keep you safe.
  • social media platforms (if you are old enough to have social media) so that you see adverts that relate to you and your tennis related interests and so that we can find other social media users similar to you.

We work mainly in the United Kingdom, so we don’t often need to send any information about you to other countries. If we ever do need to send your information abroad, we will make sure your information is protected wherever it goes.

6. How long will we keep information about you?

We keep your data for as long as we need to before deleting or removing it. Some information does need to be kept for a long time, or even forever if we have reasons for this.

7. What are your privacy rights?

You can ask that we:

  • make changes to, correct, delete or let you see information that we have about you.
  • stop sending you information, like newsletters about our activities and competitions.
  • stop using your information, if you or your parents or guardians previously told us that it was okay but you’ve changed your minds.

The law doesn’t always say we have to answer your requests in the way you might expect, and sometimes we even have to refuse your request (for example, where you ask us to delete your information but the law says we have to keep it) but you can always ask and you should feel free to speak to us about anything you don’t like about how we use your information.

We might need to involve your parents or legal guardians in this, but if you have any questions or concerns about information we hold about you, you can ask your parents or guardians to contact us at https://www.lta.org.uk/about-us/contact-us/.

If you’re worried about how we are using information about you, you can also ask your parents or guardians to tell the UK Information Commissioner. The Information Commissioner looks into problems if they think companies are not using information about people properly. The ICO’s website is here: www.ico.org.uk

8. What are cookies?

Our website uses “cookie” technology. These cookies are little files that store information on devices like your phone or computer. We use these cookies so that our website works well and remembers things about you like what area you live in. Other companies may also use cookies so that information about us shows up on social media and other websites. Some cookies only stay on a device while you’re on our website, and other cookies stay for longer or until you delete them from your device.
