Tennis Administrator
About the Role:
As a Tennis Administrator, you will provide 5-star customer service to those wanting to engage in tennis at our Bexley and Greenwich venues. This part-time role requires essential Saturday hours from 9 AM to 1 PM, offering a flexible midweek schedule for adequate coverage of our core business hours. You will be managed by the Director of Operations and will predominantly work remotely but occasionally onsite at our tennis venues. In this clerical role, your primary responsibilities will include ensuring our tennis services are accurately listed and available for booking on our platforms and website.
Main Duties & Responsibilities:
Customer Interaction:
- Respond to customer enquiries via phone and email regarding tennis bookings and coaching programmes.
- Provide accurate information on available programmes, schedules, pricing, and special offers.
Booking Management:
- Assist customers in making online tennis court reservations and enrolling in coaching programmes.
- Process payments and manage booking confirmations and cancellations efficiently.
- Schedule courses and classes for online bookings.
Customer Support:
- Address and resolve customer complaints or issues promptly and professionally.
- Gather feedback from customers to improve service quality and programme offerings.
Programme Promotion:
- Assist the marketing lead by sending follow-up emails to new registrations and existing customers.
- Create promotional materials using software such as Canva and communicate regularly with stakeholders via email.
Record Keeping:
- Maintain accurate records of customer interactions, bookings, and feedback using Google Sheets and CRM software.
- Track the delivery of tennis programmes and process coaches’ timesheets, ensuring timely monthly payments.
- Generate reports on customer enquiries and booking trends for management analysis.

Our goal is to make tennis the most popular sport in both boroughs by providing inclusive, social, and easily accessible tennis activities designed in partnership with local people. We manage nine community tennis venues, offering pay & play, season tickets, and coaching sessions for juniors and adults of all ages and abilities. We provide paid, subsidised, and free coaching sessions every week to ensure everyone can access tennis.

Skills:

- Willingness to learn various online software tools, including QuickBooks, Canva, SurveyMonkey, HubSpot, and ClubSpark.
- Capable of working independently, demonstrating initiative in task completion.
- Ability to set deadlines, establish processes, and implement strategies for improved operations.
